Workflow automation

You do the repair. The ticket does the telling.

One e-bike, from the counter to the register. Five things you did, and no message typed.

  • On a long repair, Spekco can send progress updates by itself, so the customer does not have to call and ask.
  • Finish a repair now and schedule the status change: the ticket moves, and the customer is told, at the time you choose.
  • Every notification is included on every plan. There is no charge per message.
  • On Pro, the follow-up runs too: a message after the repair, a reminder when service is due, and an invitation to customers who have not been back.

    The ticket fills in with its parts, labor and checklist. The customer is emailed that you have their e-bike, with a page where they can follow it.

  2. 2. You set the status to Waiting on Parts

    They are told you are waiting on the battery.

  3. 3. You send the estimate

    They approve it online, and the approval is recorded on the ticket.

  4. 4. You set the status to Ready for Pickup

    They are told their e-bike is ready.

  5. 5. You take the payment at the register

    They are emailed a receipt.

Integrated point of sale

One register for the repair and the sale

A brake service and a new charger are one sale, on one receipt.

  • The repair is paid at the same register that sells your products. There is no second system, and nothing is typed twice.
  • A part fitted on a repair and a product sold at the counter come off the same stock count.
  • From the ticket, one button takes you to the register with the balance already in the sale.

Tires, tubes, brake pads, chargers and helmets sell from the same register as the repair.

What to write down at the counter

Whatever you use to run your shop, record these before the customer leaves.

  • Make, model and serial number
  • The battery's serial number and condition: swelling, dents, heat
  • Whether the charger and the key were left
  • The odometer reading
  • The error code on the display
  • Any modification to speed or power

How a job runs in Spekco

Step 1

Record the battery at the door

Add fields for the battery's serial number and condition, and attach a photo. A damaged pack is on record before it goes into your shop.

Step 2

Quote the expensive part early

A battery or a motor can cost half the price of the bike. Send the estimate by email and have the approval on the ticket before you order.

Step 3

Parts that take weeks

Set the ticket to Waiting for Parts and post an update when the part ships. The customer reads it in their portal.

Pickup, delivery and dispatch

For the work that does not walk in the door.

Pickup

You collect the item from the customer's address. Spekco checks the address against your service radius and adds the fee to the ticket, flat or per mile.

Delivery

The repaired item goes back to the customer's door in a delivery window you set. The customer can choose the time from a link.

Dispatch

A technician goes to the customer, for a trip fee you set. The customer is asked to confirm the visit, reminded the day before, and told when the technician is on the way, with an arrival time.

One workshop with one or two people fits Basic: 25 tickets a month included, then $0.20 each. A third person makes it Pro.

Questions

Can I record the battery's serial number separately?
Yes. Add it as its own field, beside the bike's serial number.
Can I take a deposit before ordering a battery?
Yes. The deposit is held against the ticket and the balance is due at pickup.
Can customers follow a long repair?
Yes. Every ticket has a status page in the customer portal, and updates you post are emailed to them.
