Workflow automation

You do the repair. The ticket does the telling.

  • On a long repair, Spekco can send progress updates by itself, so the customer does not have to call and ask.
  • Finish a repair now and schedule the status change: the ticket moves, and the customer is told, at the time you choose.
  • Every notification is included on every plan. There is no charge per message.
  • On Pro, the follow-up runs too: a message after the repair, a reminder when service is due, and an invitation to customers who have not been back.

    The ticket fills in with its parts, labor and checklist. The customer is emailed that you have their laptop, with a page where they can follow it.

    They are told you are waiting on the new drive.

    They approve it online, and the approval is recorded on the ticket.

  4. 4. You set the status to Ready for Pickup

    They are told their laptop is ready.

A drive replacement and a charger are one sale, on one receipt.

  • The repair is paid at the same register that sells your products. There is no second system, and nothing is typed twice.

What to write down at the counter

Whatever you use to run your shop, record these before the customer leaves.

  • Make, model and serial number
  • The login password, if the customer agrees to give it
  • What came in with it: charger, bag, dongles
  • Whether the data is backed up, and what must not be lost
  • The fault in the customer's words, and when it started
  • Visible damage before you start

How a job runs in Spekco

Step 1

Diagnose first, quote second

Move the ticket to your own Diagnosing status and write what you found in the notes. Send the estimate by email; the customer approves or declines it online.

Step 2

Waiting on a part is a status, not a sticky note

Order the part, set the ticket to Waiting for Parts, and everyone at the counter can see why the job has stopped. So can the customer.

Step 3

Every machine has a history

Notes, photos, parts used and what was charged stay on the ticket. When the same laptop comes back in six months, the last repair is on the customer's record.

Pickup, delivery and dispatch

For the work that does not walk in the door.

Pickup

You collect the item from the customer's address. Spekco checks the address against your service radius and adds the fee to the ticket, flat or per mile.

Delivery

The repaired item goes back to the customer's door in a delivery window you set. The customer can choose the time from a link.

Dispatch

A technician goes to the customer, for a trip fee you set. The customer is asked to confirm the visit, reminded the day before, and told when the technician is on the way, with an arrival time.

The plan that usually fits

Basic, $29.99 a month

One or two people at one counter fit Basic: 25 tickets a month included, then $0.20 each. A third person or more than 175 tickets a month makes Pro the cheaper plan.

What it does not do

Spekco runs the shop. It is not a remote-support or monitoring tool, and it does not manage IT service contracts.

Questions

Can I keep the customer's password on the ticket?
Yes, as a custom field. You decide whether a field is shown to the customer in their portal or kept to staff.
Can customers see where their repair is without calling?
Yes. Every ticket has a status page in the customer portal, and Spekco emails the customer when the status changes.
Can I charge a diagnostic fee up front?
Yes. Take a deposit at check-in. It is held against the ticket and the balance is due at pickup.
