Workflow automation

You do the repair. The ticket does the telling.

One machine, from the counter to the register. Five things you did, and no message typed.

  • On a long repair, Spekco can send progress updates by itself, so the customer does not have to call and ask.
  • Finish a repair now and schedule the status change: the ticket moves, and the customer is told, at the time you choose.
  • Every notification is included on every plan. There is no charge per message.
  • On Pro, the follow-up runs too: a message after the repair, a reminder when service is due, and an invitation to customers who have not been back.
  1. 1. You pick your Annual Service template

    The ticket fills in with its parts, labor and checklist. The customer is emailed that you have their machine, with a page where they can follow it.

  2. 2. You set the status to Waiting on Parts

    They are told you are waiting on a motor.

  3. 3. You send the estimate

    They approve it online, and the approval is recorded on the ticket.

  4. 4. You set the status to Ready for Pickup

    They are told their machine is ready.

  5. 5. You take the payment at the register

    They are emailed a receipt.

One register for the repair and the sale

A service, a pack of bags and a belt are one sale, on one receipt.

  • The repair is paid at the same register that sells your products. There is no second system, and nothing is typed twice.
  • A part fitted on a repair and a product sold at the counter come off the same stock count.
  • From the ticket, one button takes you to the register with the balance already in the sale.

Bags, belts, filters, needles, bobbins and thread sell from the same register as the repair.

  • Make, model and serial number
  • What came with it: foot control, bobbin case, attachments, hose
  • What it does wrong, with a sample of the stitching if there is one
  • When it was last serviced
  • Damage already on it
  • How much the customer will spend before you must call

How a job runs in Spekco

Step 1

One shelf for sales and repairs

A belt sold at the counter and a belt fitted on the bench come off the same count. You are warned when a part falls below the minimum you set.

Step 2

A service, the same way every time

Save your standard service as a template with its checklist. Every machine gets the same steps, whoever does the work.

Step 3

Tell them it is ready

Change the status to ready and the customer is emailed. Machines do not sit on your shelf for a month waiting to be remembered.

Pickup, delivery and dispatch

For the work that does not walk in the door.

Pickup

You collect the item from the customer's address. Spekco checks the address against your service radius and adds the fee to the ticket, flat or per mile.

Delivery

The repaired item goes back to the customer's door in a delivery window you set. The customer can choose the time from a link.

Dispatch

A technician goes to the customer, for a trip fee you set. The customer is asked to confirm the visit, reminded the day before, and told when the technician is on the way, with an arrival time.

Basic, $29.99 a month

A counter and a bench with two people fit Basic: 100 sales and 25 tickets a month included. A shop that sells more than that, or wants maintenance reminders, wants Pro.

Questions

Can I remind customers when a machine is due for service?
On Pro, yes. Spekco keeps a record of each customer's machine and sends maintenance reminders by email.
Are counter sales counted as tickets?
No. Sales and tickets are counted separately. Basic includes 100 sales and 25 tickets a month; Pro includes 1,000 and 250.
Can I record the attachments left with a machine?
Yes. Add a field for them, or list them in the intake notes.
